Getting started
The HR Hub is your command center. Every application — whether it comes from the candidate website or the JotForm pre-interview form — lands here automatically, and everything you do to move a candidate forward happens on this one screen. Offers and onboarding are now signed inside the app — no JotForm or Google Forms in the hiring flow.
Signing in
- Open hr.workathomesolutions.tech in any browser.
- Enter your work email and password, then select Sign in.
- You'll land on the Hiring pipeline — your default home screen.
Your admin creates your account and gives you a temporary password. Sign in once, then use “Forgot password?” on the login screen to set your own.
How the screen is laid out
- Left sidebar — navigation between sections (Pipeline, Offer letters, Onboarding, Messages, Settings, and more).
- Center — the section you're currently viewing.
- Detail panel — slides in from the right when you click a candidate.
The Pipeline
The Hiring pipeline lists every candidate in one table. The cards across the top give you a live snapshot; the table below is where you work.
Reading the snapshot
The metric cards show your totals at a glance — how many candidates are in process, at offer stage, and in onboarding — so you always know where things stand without scrolling.
Finding a candidate
- Search — type a name, email, or phone number to filter instantly.
- Stage filter — narrow to a single stage (e.g. only Interview).
- Campaign filter — show only Debt Relief, Home Improvement, and so on.
- Sort — click any column header (Name, Submitted, Stage…) to sort the list; click it again to reverse the order. Sorting works together with your filters.
- Clear — reset all filters and see everyone again.
Website and JotForm applications appear here automatically as Applied — usually within seconds. You can also add someone yourself when needed (see Chapter 3).
Managing a candidate
Click any row in the pipeline to open the candidate's detail panel. This is where you review, edit, communicate, and move them through the process — and where their signed offer, onboarding form, and contract appear once complete.
What you'll see
- Their profile — contact details, campaign, shift, experience answers, and screening tags.
- Uploads & documents — click the CPU and speed-test screenshots to view them, plus any documents attached to the candidate.
- Offer, onboarding & contract status — once they reach those stages, this panel shows whether the offer is Sent / Viewed / Signed, their submitted onboarding form (with document links), and the signed contract — each with a Download PDF button for your records.
- Notes — an internal log only your team sees. Add a note (and attach a file if needed) to keep everyone in sync. Any teammate can edit or delete a note — edits are timestamped, and deletes leave a stamp of who removed it and when. Automatic system notes can't be changed.
Adding a candidate yourself
Most candidates arrive automatically, but you can add one by hand — for example, a referral or a website applicant.
- On the pipeline, select ➕ Add candidate.
- Enter their name and email (the essentials), plus any details you have.
- Optionally upload their application PDF. The app reads it and auto-fills the empty fields for you — phone, city, experience, and more.
- Select Add to pipeline. Open their name to review; anything read from the PDF is listed for you.
Uploading a filled application PDF fills in fields you left empty — it never overwrites something you typed. Review the record and correct anything with the Edit tool below.
Editing any field
Need to fix a phone number, campaign, or any application answer? Open the candidate and select the ✏️ Edit button at the top of the detail panel. Every field becomes editable — text boxes, dropdowns for campaign and contact, and Yes/No pickers for the qualification questions. Change what you need and select 💾 Save.
Every save adds an automatic note listing which fields you changed, with your name and the time — so the record always shows who edited what.
Moving them forward
- Use the Update stage dropdown to pick the candidate's new stage.
- The right email fires automatically (see Chapter 4) — no separate step needed.
- The candidate sees their new status update live on their own dashboard.
Actions on the candidate
The red 🗑️ Delete application button permanently removes a candidate along with their notes, messages, and history. Use it only for spam or duplicates — it can't be undone.
The hiring stages
Stages are the backbone of the pipeline. Moving a candidate to a new stage is what triggers their emails and unlocks their next step — so keeping stages current keeps the whole process running.
After a candidate updates their application they return to Applied automatically, and you get a pop-up banner plus an ↻ Updated badge on their row — so a resubmission never slips past you. Opening their profile clears the badge.
Always keep a candidate's stage accurate. The stage decides which email they get and what they can see — it's the single most important thing you maintain.
Offer letters & signing
Offer letters are handled per campaign, so the right letter goes to the right candidate automatically. Candidates now read and sign the offer inside the app — you set up a template once, and the system does the rest.
How it works
- Move a candidate to Offer.
- The system finds the offer-letter template that matches their campaign and emails them a secure link to review and sign in their account.
- They read the letter (auto-filled with their details) and sign — by drawing or typing their signature — with a consent checkbox.
- A signed PDF is saved on file, and their status moves to Onboarding automatically.
Setting up a template
Under Offer letters → Templates, add or edit a template for each campaign. The key choice is Delivery method:

The template must have Delivery method set to “In-app e-signature” and actual letter text in the box. If the text box is empty, the app has nothing to show and falls back to your external link. Switch the delivery method (it auto-fills a starter letter), edit the text, and Save.
Merge fields
Write pay, position, and terms directly in the letter. These placeholders auto-fill for each candidate — leave them as written:

Don't add a signature line — the candidate's signature (and the company's, below) are appended automatically.
Company countersignature
The offer can be countersigned by the company. In Settings → Offer letter countersignature, set a signatory name and title (e.g. Fernanda Ruiz, HR Manager). From then on every offer shows WorkAtHome CC's signature; the candidate counter-signs to accept, producing a dual-signed PDF. Leave it blank for candidate-only signing.
The two panels
- Tracker — see who's at Offer stage; ↻ Resend offer email if they need the link again.
- Templates — create or edit each campaign's letter, its delivery method, the per-campaign HR video and its length, and any signing link. Templates using in-app signing show a green “✍️ In-app signing” badge.
Once signed, open the candidate and use ⬇ Download signed offer PDF in their detail panel. The PDF includes the letter, both signatures, and an electronic-signature audit trail. Candidates can view their copy but can't download it — HR holds the file.
If a campaign has no offer-letter template, the system won't send an offer and will leave a note on the candidate instead. Set up a template for each campaign before you start moving people to Offer.
Onboarding
Once a candidate signs their offer, they enter onboarding — a locked, three-step sequence completed in order, all inside the app. The Onboarding tracker shows exactly where each new hire is.
The three steps a new hire completes
- Onboarding form — personal details, birthday, address, a health question, an ID photo (INE/IFE) and a utility bill, plus banking (Bank + 18-digit CLABE). Filled in the app; their answers and document links appear on their detail panel.
- HR introduction video — they watch it fully before continuing.
- HR completion contract — they read and e-sign it in the app, with the company countersignature.
When all three are done, the candidate flips to Active automatically and your team is notified.
Turning on the built-in form & contract
Both the onboarding form and the completion contract can run in-app or via an external link. Configure them under Settings:
- Use the built-in onboarding form — check this box so candidates fill the form in the app. (When off, the external form URL is used.)
- Sign the contract in the app — check this box and paste your contract text into the box below it. Both are required — an empty text box falls back to your external link. Merge fields {{name}} {{first_name}} {{campaign}} {{date}} work here too; signatures are added automatically.
Checking the “sign in app” box is not enough on its own — the contract needs text in the box to display. If it's empty, candidates get sent to the external link. Paste the wording (your existing contract works fine), Save, and you're set.
The HR video & its length
The intro video is set per campaign inside the offer-letter template — paste a YouTube, Vimeo, Google Drive share link, or an MP4. Next to it, set the Video length (mm:ss). The candidate's “I've finished watching” button then stays hidden behind a countdown of that length, so it won't appear until the video has run.
For Google Drive and YouTube, the app can't detect the true end of the video, so it gates the button by the length you set (a timer). A raw .mp4 link is the exception — it auto-detects the real end and disables fast-forwarding. For Google Drive videos, make sure the file is shared “Anyone with the link · Viewer” or candidates will see “You need access.”
Like the offer, a signed contract shows on the candidate's panel with a ⬇ Download signed contract PDF button. The old “sign in blue ink” warning only applies to the external-link route — in-app signing doesn't need it.
Email automations
Most candidate emails send themselves. The Email automations screen lists every automatic email and lets you see, at a glance, which ones are switched on.
- Each entry shows the stage that triggers it and the subject line the candidate receives.
- A toggle turns any automation on or off.
Because these fire on stage changes, simply moving a candidate through the pipeline keeps them informed — you rarely need to send routine emails by hand.
Messaging candidates
The Messages screen is your live, two-way chat with candidates. Everything is saved, so anyone on the team can pick up a conversation.
The basics
- Pick a conversation on the left, or search by name, email, or message text.
- Type in the box at the bottom and press Enter or Send.
- New replies arrive live, with a chime.
Everything the message box can do
Edit and delete only apply to messages you sent. Edited messages show a small “edited” note so the history stays honest.
While the portal is open, a new message from a candidate pops a banner in the corner and plays a tone — even if you're on another screen. Click the banner to jump straight to that conversation.
Team Chat
Team Chat is a private space for your HR team — candidates never see it. Use it to coordinate on hires, flag questions, and keep decisions in one place.
- Open Team Chat from the sidebar and type to your whole team.
- All the same tools apply: emoji, attach files, paste screenshots, reply, and edit / delete your own messages.
- A badge on the sidebar shows unread team messages, and a new message pops a banner and tone so you notice it.
Your HR team
Admins manage who can access the portal from the HR Team screen. This section is only visible to admins.
Adding a team member
- Open HR Team in the sidebar.
- Fill in their name, email, a temporary password, and a role.
- Select Add member, then share the email and temporary password with them.
The two roles
You can't delete your own account or remove the last remaining admin, so the portal can never be locked out. A super-admin can also reset a teammate's password.
Tips & FAQ
A candidate says they can't see their status. Why?
Their login email must match the email on their application. Ask them to sign in (or create an account) using the exact email they applied with, and their application links automatically.
Do I need to add applications manually?
No. Website and JotForm applications appear on their own as “Applied.” You can add someone by hand with ➕ Add candidate — and upload their application PDF to auto-fill the blanks.
How does a candidate sign their offer?
Move them to Offer. If that campaign's template uses In-app e-signature and has letter text, they read and sign it in the app, then move to Onboarding automatically.
I turned on in-app signing but it still sends them to JotForm.
The toggle needs a partner: the template (or contract) must also have text in the box. An empty text box falls back to the external link. Add the wording and Save.
Where do I download a signed offer or contract?
Open the candidate — the offer and contract sections in their detail panel each have a Download PDF button. Candidates can view their copy but can't download it.
The onboarding video's “finished watching” button appears too early.
Set the Video length (mm:ss) in that campaign's offer-letter template. The button then stays hidden behind a countdown of that length.
Can I fix a candidate's details?
Yes — open them and select ✏️ Edit, change any field, and Save. Each save is logged as a note showing what changed.
What happens when onboarding is finished?
Once the new hire completes the form, video, and contract, they move to Active automatically and your team is notified.
